Melissa: Thanks again to everyone joining us. If you don't mind hopping on video or at least being active in the chat, feel free to unmute yourself. We're keeping things really casual today and talking about blueprints, so I’ll get us started.

Show of hands—either with a reaction emoji or literally putting your hand up—who has tried blueprints so far? Candace, Janice, Emma—great!

Megan: We’ve got some newbies!

Melissa: Yeah, seeing some responses in chat—just getting started, new to PropFuel, short on time, short-staffed. That totally makes sense. If you’re overwhelmed with everything on your plate, you need this.

We’re only going to take 30 minutes, and I promise this will be a game-changer for how quickly you can build campaigns. Blueprints will reduce the time it takes to create campaigns so you can launch them more efficiently.

This is our gift to you—helping make your work easier, faster, and more effective. You’ll see it’s not complicated and will save you hours.

Ashley, want to give us a quick show-and-tell?

Ashley: Sure! Let me walk you through how blueprints work.

For years, when you built a PropFuel campaign, you started from scratch. That’s great for custom campaigns, but most organizations need foundational campaigns—things like renewals, onboarding, member acquisition, and win-back campaigns.

So we created blueprints—pre-built campaigns based on best practices from hundreds of clients, plus AI-generated content specific to your association.

Let me share my screen and show you how it works.

Once you log into PropFuel, next to the Create new campaign button, you’ll see a down arrow. Click Create from Blueprint and you’ll see about 18 different campaigns you can choose from.

We have options like lapsed member win-back, acquisition for individuals or companies, conference registration, and engagement.

For this example, I’m selecting a renewal campaign—specifically, a scheduled campaign that starts 60 days out. At the top, you’ll see a summary of the campaign:

  • It’s a scheduled campaign.
  • It includes four check-ins (but you can add or remove them).
  • It starts 60 days before expiration (adjustable).

All I have to do is enter four pieces of information:

  1. Campaign name
  2. From name
  3. Reply-to email
  4. Renewal page URL

That’s it!

Once I hit Create, the system automates the entire process. Normally, building a campaign from scratch takes hours—this does it in minutes.

Depending on the complexity, some blueprints take 5–7 minutes to generate. This one finished in less than a minute and completed 119 steps automatically!

Now, I have a full renewal campaign—all the questions, landing pages, and email templates are created for me.

A quick note on AI content:

AI generates copy for your emails and landing pages, but always review and tweak it before going live. It’s 90% done, but you’ll want to edit for accuracy.

Let me show you an example. Here’s the renewal reminder email—it’s already formatted, and AI has drafted the message based on best practices.

Melissa: Jill mentioned in the chat that this is saving so many steps—exactly! Instead of manually creating every email, landing page, and check-in, blueprints handle it for you.

Think of it this way—119 steps in this campaign, and each step could involve 10 clicks. That’s over 1,000 clicks saved just from one blueprint!

Megan: If you've ever built a renewal or lapsed win-back campaign, you know the hardest part is crafting the "Why aren’t you renewing?" question.

AI auto-generates content for different responses—like if someone says they’re retiring or can’t afford it, the system suggests a personalized response.

Instead of starting from scratch, you edit what’s already written. That alone is a huge time-saver.

Jill: Quick question—when setting it up, does the URL input affect AI-generated content?

Ashley: Great question! ChatGPT doesn’t pull from your live website—it uses its own database. The URL is used to redirect members, not to generate content.

Cameron: In the future, we’ll allow users to customize AI context—so you could provide specific details to refine what AI generates. This is just our first step into AI-assisted content, and we’ll improve it over time.

Megan: Another question—can you drag and drop check-ins?

Ashley: Yes! We recently added a drag-and-drop feature to reorder check-ins.

For scheduled campaigns, you can rearrange check-ins by changing the dates.

For drip campaigns, use the up/down arrows to move check-ins around.

Melissa: Now, I’d love to hear from those who have used blueprints before.

Melanie, as someone who has built campaigns from scratch before blueprints, how did the experience compare?

Melanie: I’m new to PropFuel, so everything is still new, but blueprints saved me so much time.

I used it for renewal reminders, and instead of spending a whole day, I built the campaign in two hours.

The only issue was that embedded campaigns were generated with the same name, so I had to rename them to keep track. It would be helpful if blueprints automatically labeled them as Embed 1, Embed 2, etc.

Also, I’d love an option to reuse existing embeds instead of always creating new ones.

Melissa: That’s great feedback! Mixing and matching pre-made content with AI-generated pieces is a smart way to customize blueprints.

We’ll take that note about naming embeds back to our team. And if anyone ever thinks, "Why does it do this?", please tell us! We love feedback and can often tweak things quickly.

Jorrun, I saw you tested a blueprint—how was it?

Jorrun: Watching it build the campaign automatically was amazing.

I’ve manually built campaigns before, and blueprints saved so much time. I still reviewed and tweaked things, but it was so much faster than starting from scratch.

Melissa: Love it!

Great choices!

If you’re using event registration, I recommend creating templates ahead of time. Then, when you run the blueprint, it automatically applies your event branding.

Ashley, want to show how to change default templates?

Ashley: Sure!

To set default templates:

  1. Go to Settings > Templates
  2. Find the email, check-in page, and thank-you page you want as the default
  3. Click the three dots and select Make Default

Now, blueprints will use your preferred templates instead of the system defaults.

  • More AI-powered automation—turning users from authors to editors
  • Improved reporting—giving you clearer insights and high-level campaign results
